VOLUNTEER INFO

Fully Experience Race Day!

Would YOU like to be a part of making this the absolute best race ever? Year after year, an amazing group of volunteers come together to help whip the trails into shape, mark trails, and help the event run smoothly. Return home with a smile on your face knowing you ran a good race AND lived a part of the behind-the-scenes action of Race Day!

Please Read the Event Notes on the Main Events Page – check out the event notes on our events page HERE. You will find some good info about each event, especially if you've never been to the venue or volunteered with us before.

Still have questions/need more info, hit us up at: info@rvaracingevents.com

Thank you in advance for choosing to be a part of making each event the absolute best race ever!

  • • Race directors arrive on site ~6:00 AM’ish ... yup, it's early but we usually have coffee, sammiches, and donuts - bring a cup!

    • Registration and tent setup starts as soon as we get on site. For some venues, we are able to do most of the setup the day before. We will let you know.

    • Registration opens ~7:15 AM or earlier if we get the tents and registration area setup.

    • Most racers have pre-reg'd, so we just need to check them off list and hand them a bib plate. Walk-up or day-of entries can start anytime. Walk-ups will need to complete the walk-up registration form, sign a hardcopy USAC Waiver, and pay the entry fee BEFORE they are issued a bib plate.

    • To ensure we have an on-time start, ALL registration CLOSES 30 minutes before start time – no exceptions!

    • Most of our races start at 9:00 AM. Check the event page for any changes and to find out more about the venue and event.

    • If we are operating a Beer & Wine garden, it will open @ 10:00 AM’ish ... or as soon as we are thirsty for it.

    • T-shirt and merchandise sales will get set up right away. Anxious racers will pick up pre-sales merch before they race.

    • Awards & podiums will typically start after the top 5 riders in the last wave finish for mass start events (XC & XXC). For events that have a staged start (XCO, XCC), podiums will be held throughout the day.

    • Start breaking down the course after the last race begins their final lap.

Things usually wrap up by 2:00-3:00 PM. Then we are off to party some more!

  • VOLUNTEER ROLES: Each event has unique requirements. So, please read and select one of the areas to help on the registration page. Once we get it all figured out, we will post job descriptions as well as the time of your shift within each event on this website and BikeReg.

    • All our races are RAIN or SHINE events. Please come prepared.

    • Upon arrival, please check in at the RVA Racing Tent with the race volunteer coordinator and receive your volunteer packet.

    • Please be at your assigned spot for the duration of your shift. If you need to leave your spot for any reason, you are responsible for having someone cover your spot while you're away.

    • If you work the day (2+hr) we will get you a food ticket.

    • If you have your favorite camp chair, feel free to bring it.

PARKING (2-4 people): Help event participants efficiently park. Start @7:00 AM’ish. You will direct cars until enough vehicles are in place to form a systematic parking area. Typically, this only takes an hour or two but for larger events, we may need you out there until 10:00 or even 12:00. Can stagger shifts.

HOT LAP, PRE-RACE COURSE CHECK (2 riders): You will meet up with Andy and/or Chris @ 7:00 AM and have fun pre-riding the course on Race Day to ensure course markings are in place, touch up where needed, and help us set up the start/finish and timing areas. Bring your bike and a backpack to hold trial tools and course marking materials.

REGISTRATION & INFO DESK (2-4 friendly folks): Soak up those pre-race vibes by being the first stop and info stop for racers on Race Day. Super easy. Set up the registration tent and tables, greet racers, check them in, show them how to access the results, tell them where the bathroom is, and field questions. Oh, and smile and tell jokes and stuff.

COURSE MARSHALS (4-8 excitement junkies that keep safety in mind): You will meet up with Andy and/or Chris @ 7:00 AM. Keep our friends safe by holding a position along the course. Warn riders of hazards, direct them around bends, ensure fair play, provide rapid response and communication during incidents, all while yelling, "Go! Go! Go! You got this!" Live action—playing out in front of you. Sweet!

FIRST AID/RESPONDER TEAM (1-2 high priority people): Relax and enjoy yourself on Race Day, but if something should arise, be the person or be part of the team who lends a hand when a rider is down. We're seeking people with medical training (physician, nurse, first-aid/CPR certified folks, etc.) to be on the ready should they be called.

TIME KEEPERS (2-4 focused observers): This is the heart of "the race." The team that makes Race Day more than a Sunday ride. It's the work of collecting, verifying, and integrating times into race results. Call out rider bib numbers to timekeepers and assist with logging racer laps/times. You get insider access to all the action—as it's happening.

COURSE SWEEPERS (1-2 riders): We're looking for 1-2 people to hop on their bikes and ride the course to assist racers in need and bridge the gaps between the course marshals. We all love riding, and this places you smack in the middle of the action. You’d be like—a ninja rider on a mission. So awesome. Ebikes and dirt bikes (in some cases) are allowed and maybe you’ll find some good swag. Finders keepers!

COURSE TEARDOWN & CLEANUP (2-4 riders): It doesn't take that long, and man, do we appreciate it after working so hard before, during, and after a race. With all hands on-deck, it only takes about 15 minutes to pull down course marking, break down the venue (tents, folding tables), and load the trailer. Without volunteers, it's a slow slog after a long day. Got a few minutes? We’d greatly appreciate it.

NEUTRAL TECHNICAL SUPPORT & SHOP TENT (shop or mechanically inclined individuals): Set up and tent, bring a stand, your tools, and some gear to sell. Be someone’s savior because there is nothing like race-day repairs to add to the pre-race hype and we all have experienced it at some point. We do not expect you to provide free parts or repairs, so please come prepared to “run shop.” We will provide free WiFi!

BEER & WINE SALES (2-3 people): You must be at least 21 years old to help. Arrive early to set up so we can be serving by 10:00 AM (our RD’s get thirsty early!). Priority number one is to keep that beer & wine COLD.

So what d'ya think? Want more out of your Race Day experience?

Ready to go? Let’s do this!

  • All volunteer positions can be run in full or even partial shifts.

All volunteers will receive food & beverage tickets for the day.

Volunteers are also eligible to receive a discount code or comp'd entry to individual races for themselves or their child, spouse, boy/girlfriend, or buddy at a future event.
